1. Check
Your Microsoft 365 Service Health
First, ensure that there is no ongoing issue
with Microsoft 365 services:
- Service
Health Dashboard: Go to https://status.office.com/ to
check if there are any global or localized service outages affecting your
mailbox.
2. Check
Your Mailbox Quota
Microsoft 365 mailboxes have storage limits.
If you’ve reached your quota, incoming emails might be blocked.
- Check
Mailbox Usage:
- In
Outlook Web (OWA), click on Settings (gear icon) > View all
Outlook settings > General > Storage.
- If
your mailbox is full, you may need to delete some emails or archive them
to free up space.
3. Check
the Junk/Spam Folder
Emails might have been routed to the Junk
folder or filtered incorrectly.
- Open Outlook
and check the Junk E-mail folder.
- In Outlook
Web (OWA), go to Settings > View all Outlook settings
> Mail > Junk email to manage blocked senders and filters.
4. Check
for Delivery Issues in the Admin Center
If you have admin rights, you can check for
any issues with mail delivery in the Microsoft 365 Admin Center.
- Go to Microsoft
365 Admin Center > Exchange > Mail flow > Message
trace.
- Run a
trace for missing messages to see if there’s any issue with delivery or if
the messages are being blocked or delayed.
5. Check
for Mail Rules or Filters
Mail rules can unintentionally reroute or
delete incoming emails.
- In Outlook:
Go to File > Manage Rules & Alerts and check for any rules
that might be moving your emails to another folder or deleting them.
- In Outlook
Web (OWA): Go to Settings > View all Outlook settings
> Mail > Rules.
6. Check
for Blocked Domains or Senders
Microsoft 365 might be blocking certain
domains or senders. You can review these in Outlook Web.
- Go to Settings
> View all Outlook settings > Mail > Junk email.
- Under Blocked
senders and domains, check if the sender's email or domain is listed.
7. Check
for Blacklisting
If emails from certain domains or senders are
not coming through, it’s possible the domain is blacklisted. Microsoft 365 uses
its own filtering systems, but you can check and manage the Anti-Spam
settings:
- In Microsoft
365 Admin Center: Go to Security & Compliance > Threat
Management > Policy > Anti-spam policies.
8. Check
Email Forwarding Settings
If you have email forwarding enabled, emails
might be forwarded to another account.
- Go to Outlook
Web (OWA) > Settings > View all Outlook settings
> Mail > Forwarding.
- Make
sure forwarding is either disabled or correctly configured.
